Owner's kit: introduce Handled in one meeting
Before the meeting
- Subjects holds your main subjects, each with at least one owner. Rough is fine.
- Everyone is invited (People, then Add people) and has signed in once.
- Everyone can open Handled: the web app, the Mac or Windows app from handledspace.com, and the iPhone or Android app.
- You have one real request and one small real decision ready, and a colleague to talk with.
- You sent one request yesterday and saw where it went.

0:00 Why (2 minutes)
We lose time asking who handles what, and things we agree in conversation get forgotten. Handled fixes those two things. We are trying it for a month.
2:00 Write (3 minutes)
When you need something, press Write something and say it in plain words. You do not choose a person. The AI finds the subject, and it goes to whoever owns that subject.
Demo: write your real request and press Send. Read the receipt aloud, for example "Sent — Maria owns ad spend." If it names a later delivery time, mark the demo Urgent so the room sees it arrive.
5:00 My queue (2 minutes)
My queue is the short list of things that need you. Each one says why it came to you. Done finishes it and tells the person who asked. Reply keeps the conversation with the request. Not mine sends it back and teaches Handled. If a subject has several owners, all see new work and one presses Claim.
Demo: the owner who received it presses Done.
7:00 Talk and Wrap up (4 minutes)
Some things need talking through first. A talk is a small conversation with the people you choose. Nobody else can read it or join it.
Demo: start a New talk with your colleague. Exchange four or five messages and agree one thing. Press Wrap up.
The AI has read the talk and drafted what we decided and what needs doing. I check it and change what is wrong. Each task goes to me, to someone here who accepts it, or to the owner Handled finds.
Demo: go through "What did you decide?" and "What needs doing?", choose Finish the talk, and show where the task landed.
Nothing left the talk until I approved it.
11:00 Brainstorm and Ask AI (1 minute)
A Brainstorm is a talk that starts from a question. The AI draws our ideas as a map, we star the good ones and press Decide. Ask AI answers questions from our own work and the sources we connect. It shows its sources, and the answer is private to you.
12:00 Three rules (1 minute)
One. Do not pick a person. Write what you need.
Two. End every talk with Wrap up. Finish the talk is the last step inside it.
Three. "Not mine" is good manners, not rudeness. It is how the map gets right.
13:00 Questions (2 minutes)
Today, everyone writes one real request. Not a test.
The first week (ten people)
- Day 1. Everyone writes one real request. You fix wrong owners in Subjects. Expect two or three.
- Day 2. Everyone clears their queue with Done, Reply or Not mine. You open Subjects, then Overview, and read "Stuck, and why".
- Day 3. Each team holds one real talk and ends it with Wrap up.
- Day 4. One brainstorm on a question you have been putting off. Everyone asks Ask AI one thing.
- Day 5. Ten minutes together: what was solved, what is stuck, what still went by email or a group message. Do not scold. Fix the map.
Questions people will ask
"How do I message Maria directly?" To talk with Maria, start a talk with her. To get something done, write what you need. If Maria owns the subject, it reaches Maria. Typing her name in the box helps find the subject. It does not address the request to her.
"What if it goes to the wrong person?" It will, sometimes, mostly in the first week. That person presses Not mine and can say who should have it. Handled learns. When the AI is unsure it asks you one short question, and if it finds no subject, you choose one.
"Is the AI reading everything?" No. In a talk, it reads the messages when someone presses Wrap up or Make task, and it reads the first message to give the talk its name. In a brainstorm, it reads that brainstorm and no other. A written request is read once to find its subject, and an admin can turn that matching off in Settings. Ask AI searches only what the person asking may read, and it does not search talks. Admins get no extra access to talks or Private work. Your data is not used to train AI. Two limits: Handled is not end-to-end encrypted, and the AI provider can process text outside the EU, including in the United States. That applies to finding a subject for a request, Wrap up, Brainstorm and Ask AI alike.
"When do I use a talk and when do I write?" Write when you know what you need. Talk when you need to think it through with someone first. Brainstorm when there is a question with several possible answers.
"What happens to email, Slack and WhatsApp groups?" Handled does not switch them off or copy them in. Keep them for customers and social talk. For this month, work between us goes in Handled. If something was already agreed in a WhatsApp group or an email, you do not need to retype it. Open Talks, choose Wrap up a conversation and paste it in. The AI reads it once to draft the decisions and tasks, and only you see the draft. The pasted text is deleted when you approve, or after 24 hours. What you approve stays.
"Can people see when I am online?" Yes. A green dot shows on your picture while you have Handled open, and an orange one while you are marked away. Nobody sees what you are reading or writing.
"What does it cost?" For your first 30 days everyone is free. After that the first three people stay free, and there is one price per additional person or activated AI agent each month. No credit card is needed to start. The price is on the pricing page at handledspace.com.
